Reintegration Program Assistant, Pacific Links Foundation

The Reintegration Program Assistant will report directly to the Program Manager. This position is a local (not expat), full-time contract position to end in March 2028 with the option for renewal pending funding availability. This position is based in Ho Chi Minh City, Vietnam.

Key Responsibilities

  • Provide day-to-day administrative support, including scheduling meetings, drafting correspondence, and processing documents.

  • Assist with coordinating returnee services, including transportation, housing arrangements, and referrals.

  • Organize training sessions, workshops, and stakeholder meetings, handling logistics and participant coordination.

  • Maintain and update program files, databases, and records for accurate service tracking.

  • Provide translation and interpretation (Vietnamese-English) as needed.

  • Communicate with government agencies, NGOs, and service providers to coordinate reintegration support.

  • Support field visits, partner meetings, and community outreach activities.

  • Collect and compile data on program activities and beneficiary progress.

  • Assist in preparing donor and stakeholder reports, presentations, and case studies.

  • Monitor returnee feedback and service outcomes for continuous improvement.

  • Assist in budget tracking and expense documentation for program activities.

  • Process procurement requests, invoices, and payments.

  • Perform other tasks as assigned.


Qualifications

  • Ability and willingness to learn and effectively use technology for program support and data management.

  • Minimum 2 years of experience in grassroots/nonprofit/NGO work, program support, administration.

  • Strong understanding of Vietnamese migration policies and social protection systems.

  • Proficiency in case documentation and reporting.

  • Willingness to travel within assigned provinces and occasionally beyond.

  • Flexible schedule, including weekends and holidays when necessary.

  • Strong coordination, organizational, and time management skills.

  • Excellent oral and written communication skills.

  • Fluent in Vietnamese; English proficiency at IELTS 7.0 level equivalent.

  • Proficiency in MS Office, Excel, VBA, MySQL, Data Management Systems, and AI.

  • Ability to multi-task, work under pressure, and thrive in a team environment.

  • Ethical and accountable; confidentiality is a must.

  • Bachelor’s degree required.
